Creating a New Vehicle Model

When HOURCAR acquires a new vehicle model, IT must create this model type in the Vulog Back Office before the vehicle can be added to the fleet. This is a one-time process for each vehicle model and is completed very infrequently, so it is crucial to follow these instructions carefully.

New Vehicle Creation in Back Office

1. Create Model in STAG

Path: Configuration > Vehicles and Models > Models

Steps:

  1. Add New: Click on "Add New."
  2. Enter Specifications: Fill in the model information, including:
    • Number of seats
    • Fuel type
      • Add tank capacity here (button that says 'Add Energy Capacity').
        • For gasoline cars, convert gas tank to liters, round to the nearest full liter.
        • If electric, enter the battery capacity in kWh, rounded to the nearest full kWh.
    • Transmission type
  3. Calculate Range (for fuel vehicles): Estimate the range by multiplying the combined city and highway MPG by the tank capacity in gallons.
  4. Save: Save the new model.

2. Upload Damage Template Image to STAG Back Office

  • found by navigating one tab over in Vulog, to Damage Template

  • Image Link: Use the image from the HOURCAR media library. Format: https://hourcar.org/wp-content/uploads/2022/11/MODEL-NAME-Damage-Report-Image.png

  • Label Damage Areas: Label the damage areas on the template, referring to existing templates if needed. Common areas include:
    • Front bumper
    • Hood
    • Windshield
    • Front driver door
    • Rear driver door
    • Rear windshield/trunk
    • Rear bumper
    • Front passenger door
    • Rear passenger door
    • Roof
  • Save Template: Save the completed damage template.
    • will need to 'confirm' on the popup.

3. Notify Vulog

  1. After creating the model and uploading the damage template, inform Vulog by creating a Trello card.
    • (include in message: Model has been created, damage template has been uploaded to STAG).
  2. Provide them with the following in a zipped folder, formatted to the required specifications for the app:

    • Stock Images of the Model:
      • Required size: 420 x 288 px
      • Background: Transparent
      • Tool: Use Bulk Resize Photos to resize photos if needed.
      • App Pins: Include pins for selected/unselected vehicles for each service the model will be available on.

    The directory structure of the .zip should be:

4. Validate Model Images in the App

  1. Check Screens:
    • Vehicle selection screen
    • My trips screen
    • Key screens
  2. Damage Report: Confirm that the damage report is populating and transferring information correctly to the Back Office (BO).

5. Confirm Pricing Setup in STAG

  1. Testing for HOURCAR:
    • Conduct tests for an hour trip, day trip, and multi-day trip on each rate plan using a test car (e.g., Bolt 101) or an emulator.
    • Note: Emulators are not reliable for mileage but can be used for time interval tests.
      • SB Trips: Start and end immediately to expedite testing.
  2. Testing for Evie Vehicles:
    • Test per minute and per hour rates by booking Bolt 101 and pausing the trips.
    • For per day or multi-day trips, set up fleet use for testing or coordinate with the Fleet Manager to take the test car for 1-3 days.

6. Repeat Configuration in PROD

Once images, the damage template, and pricing are confirmed, repeat all the above configurations in the production environment (PROD). Confirm the pricing on the business account to ensure everything is correctly set up.
